Frequently asked questions

About OnePDF

Is OnePDF free?

Yes. Every tool on this site works in your browser with no account and no sign-up, and nothing is charged.

Are my files uploaded to a server?

No. OnePDF runs inside your browser, so your files are opened, edited and converted on your own device. A copy of each file you open is kept in this browser so you can reopen it from Recent; you can remove it at any time.

Can I edit the existing text in a PDF?

Yes. Click any paragraph to retype it in the document's own font, or drag it to move it. Run OCR first to edit a scanned page.

Which formats can OnePDF convert?

PDF to Word (.docx), Excel (.xlsx), PowerPoint (.pptx), JPG, PNG, plain text and Markdown, and Word, Excel (.xlsx, .xls, .ods), PowerPoint, JPG, PNG, text and Markdown to PDF.

PDF to Word

Is the Word file editable?

Yes. Text comes out as real Word paragraphs and runs, not pictures of text, so you can retype, restyle and reflow it.

Will it look exactly like the PDF?

Close to it. A PDF records where each line was drawn, not how the document was built, so the layout is rebuilt from the page. Fonts you do not have are replaced by Word with similar ones, and drawn lines and shapes are left out; the converter tells you when it leaves something out.

Can I convert a scanned PDF to Word?

Yes. Open it, run OCR from the tools list to recognise its words, then convert. Without OCR a scanned page comes across as a picture.

Does it work with Google Docs and LibreOffice?

Yes. The result is a standard .docx file, which Word, Google Docs, Pages and LibreOffice all open.

PDF to Excel

Does it find tables automatically?

Yes. It looks at where every word sits: the gaps down the page become columns and the lines become rows. Text outside tables comes across too, a line per row.

Are numbers converted to real numbers?

Yes, when they read as numbers. A code with a leading zero, like 007, stays text so it is not changed, and an amount with a currency sign stays as written.

Can it convert a scanned bank statement?

Run OCR first so the words are recognised, then convert to Excel.

PDF to PowerPoint

Can I edit the slides?

Yes. Text is in real text boxes and pictures are real pictures, so everything can be moved, restyled and retyped.

What happens to pages of different sizes?

A presentation has one slide size, so pages of another size are scaled to fit and centred. The converter says when it does this.

Are curved drawings kept?

Rectangles and straight lines are. Curves and freehand drawings are left out, and the converter tells you when it does.

PDF to JPG

What resolution are the images?

144 dots per inch, so an A4 page comes out about 1190 × 1684 pixels.

JPG or PNG?

JPG makes smaller files and suits photos and scans. PNG is lossless and keeps text and line drawings perfectly sharp. Both are in the Convert panel.

PDF to PNG

Why PNG instead of JPG?

PNG keeps text, charts and line art perfectly sharp. JPG files are smaller and better for photographs.

What size are the images?

Pages are drawn at 144 dots per inch, twice the size they appear on screen at 100%.

PDF to Text

Does it work on scanned PDFs?

Yes, once the scan has been recognised with OCR. Without OCR a scanned page has no text to extract, and the converter says which pages those are.

What does the Markdown keep?

Headings, bold and italic text, bulleted and numbered lists, and text that sat side by side as tables. Fonts, colours and positions are not part of Markdown.

Word to PDF

Which Word files can I convert?

Any .docx, the format Word has saved since 2007. For an older .doc, open it in Word, save it as .docx, then convert.

Will my fonts be kept?

Your document's fonts are used when this device has them. Otherwise the nearest face of the same kind (serif, sans-serif or monospace) is used, and the converter tells you which fonts were replaced.

Are headers and footers included?

Not yet. Body text, tables, lists and pictures are; the converter tells you when a document has headers or footers it left out.

Excel to PDF

Which spreadsheet formats work?

.xlsx, .xlsm, .xlsb, the older .xls, and OpenDocument .ods.

Are cell colours and number formats kept?

Values are shown the way Excel's General format shows them, and dates as year-month-day. Cell colours, borders, fonts and charts are not carried yet, and the converter says so.

PowerPoint to PDF

Are animations or speaker notes included?

No. A PDF has no animations, and speaker notes are not printed on slides.

Are charts converted?

Not yet. Charts and SmartArt diagrams are left out, and the converter tells you how many.

JPG to PDF

Can I combine several images into one PDF?

Yes. Select all of them at once and each becomes a page of the same PDF.

Can I make the words in a photo searchable?

Yes. After converting, run OCR from the tools list to recognise the text.

PNG to PDF

Is image quality reduced?

No. PNG images are embedded without recompression. Use Compress afterwards if you want a smaller file.

Can I mix PNG and JPG?

Yes. Choose both kinds together and each becomes a page.

Text to PDF

Does it support Markdown?

Yes. Headings, bold, italic and lists in .md and .markdown files are typeset.

Create PDF

Can I make a PDF without Word?

Yes. Write it here and press Create PDF: OnePDF sets the pages in your browser. Nothing else is needed.

Can I add pictures and tables?

Yes. Insert a picture from your device, or a table with as many rows and columns as you need. Both are kept in the PDF.

Can I start with a blank PDF?

Yes. Choose Blank pages, how many and what size, and the empty PDF opens in the editor for you to add text, images, shapes or a signature.

Edit PDF

Can I edit the existing text in a PDF, not just add new text?

Yes. Click any paragraph to retype it where it sits, and drag it to move it.

Will my edits match the rest of the document?

Yes. New words are set in the document's own embedded font, with its size, weight, colour and spacing.

Can I edit a scanned PDF?

Yes. Run OCR from the tools list; the recognised words can then be edited like any other text.

Do I need an account?

No. Open a file and start editing: no tool needs an account. Sign in with a TensorActivity account if you want your files kept for you, on every device you sign in to.

Add text to PDF

Can I change the text after adding it?

Yes. Click it to retype or restyle it, or drag it somewhere else.

Can I type on a scanned document?

Yes. Added text sits on top of the scan like on any other page.

Annotate PDF

Will others see my highlights and comments?

Yes. They are standard PDF annotations, shown by Adobe Reader, browsers, Preview and every other reader.

Can I see all comments in one place?

Yes. The All comments page lists every comment and mark in the file.

Add image to PDF

Which image formats can I add?

JPG and PNG, including PNGs with transparency.

Fill PDF form

What if my PDF form has no fillable fields?

Use Add text to type anywhere on the page, and Sign to add your signature.

Can I sign the form too?

Yes. Draw your signature, place a signature image, or sign with a certificate from the Sign page.

Sign PDF

What is the difference between drawing and a digital signature?

A drawn signature is a picture of your handwriting on the page. A digital signature is cryptographic: PDF readers can check who signed and whether anything changed afterwards.

Do I need a certificate to sign?

Only for a digital signature. You can use one issued to you, or create a self-signed one on the Sign page. Drawing a signature needs nothing.

Is my PDF or certificate uploaded?

Not unless you sign in. Signed out, your file is opened by OnePDF inside your browser, on your own device, and is not uploaded to any server. Signed in with a TensorActivity account, the files you open are also saved to your account, encrypted, so they are there on every device you sign in to. Your certificate and its password are never uploaded, signed in or not.

Redact PDF

Is redacted text really gone?

Yes. The text and pictures under each box are deleted from the page, and the file is rebuilt so no earlier revision still holds them.

Can I undo a redaction?

Before you apply it, yes. Marks can be removed from the list. After applying and saving, the content is gone for good.

Is my PDF uploaded?

Not unless you sign in. Signed out, your file is opened by OnePDF inside your browser, on your own device, and is not uploaded to any server. Signed in with a TensorActivity account, the files you open are also saved to your account, encrypted, so they are there on every device you sign in to. That matters most for a document you are redacting: signed in, the file is saved to your account as you open it, unredacted, and replaced by the redacted file when you save. To keep the original out of your account, redact it signed out, or choose "Keep on this device only" for it.

Watermark PDF

Can I use my logo as a watermark?

Yes. Choose a PNG or JPG; transparent PNGs work best.

Can I remove a watermark later?

A watermark added here can be removed again with OnePDF before or after saving.

Add page numbers

Can I start numbering from a number other than 1?

Yes. Set the first number, and choose which pages to number.

Merge PDF

Is there a limit on how many PDFs I can merge?

No fixed limit, only your device's memory. Merging happens on your computer, not a server.

Can I change the order?

Yes. Move files up and down in the Merge list before merging, and pages in the Pages panel afterwards.

Split PDF

How do I extract just a few pages?

Type a range like 2-4 and save it, or use Extract pages.

Compress PDF

Will compressing lower the quality?

Text and vector drawings keep full quality at every level. Pictures are scaled and recompressed more at Balanced and Smallest.

What if the file doesn't get smaller?

If a level would not make it smaller, the file is left exactly as it was, and you can try a stronger level.

Rotate PDF

Will the rotation stay when I send the PDF?

Yes. It is saved in the file, so every reader shows the page turned.

Delete PDF pages

Can I get a deleted page back?

Yes, with Undo, until you save. After saving, open the original file again.

Organize PDF

Can I combine pages from other PDFs?

Yes. Use Merge PDF to add other files, then reorder their pages here.

Extract PDF pages

What is the difference between Extract and Split?

They are the same tool: Extract saves the ranges you type, Split can also save every page as its own file.

Protect PDF

What if I forget the password?

It cannot be recovered; that is what makes it secure. Keep it somewhere safe.

Can I remove the password later?

Yes. Open the PDF with its password and remove it in the Password panel; see Unlock PDF.

Unlock PDF

Can OnePDF unlock a PDF without the password?

No. You need to know the password to open the file; OnePDF then saves a copy without it.

OCR PDF

Which languages does OCR support?

About 50: English, Chinese, Japanese and dozens of Latin-script languages such as French, Spanish, German and Portuguese. The models suited to your browser's languages are chosen for you. Letters with dots below them, as in Yoruba, are not recognised yet.

Does OCR run on a server?

No. The recognition models run in your browser, on your own device: text recognition never uses a server, signed in or not.

Can I convert a scan to Word after OCR?

Yes. Once the words are recognised, PDF to Word, Excel and text all use them.
